Making Tax Digital for UK aromatherapists: what changes from April 2026

TL;DR: Making Tax Digital for Income Tax affects sole traders and landlords in stages: qualifying income over GBP 50,000 from 6 April 2026, over GBP 30,000 from 6 April 2027, and over GBP 20,000 from 6 April 2028. For UK aromatherapists, the practical work is keeping digital records through the year and submitting quarterly updates from software, not rebuilding the accounts at the last minute.

Current HMRC rule: Each update is calculated by compatible software from digital records and covers cumulative category totals from the start of the tax year to the end of the update period - not only the previous three months. If record keeping and filing use different software, keep a permitted digital link between them; manual re-keying or clipboard transfer is not a digital link. HMRC will not apply penalty points for late quarterly updates in 2026/27, but the updates must still be sent before you submit your Self Assessment tax return using compatible software. If you run an aromatherapist business as a sole trader, Making Tax Digital for Income Tax changes the rhythm of your admin. It does not change the underlying idea that you record income and expenses. It changes when those records need to be digital and how often summary figures are sent to HMRC.

What actually changes

For aromatherapists, the change is not a new kind of tax. It is a new operating rhythm for records. Digital income and expense records need to be kept as the year goes, quarterly updates become part of the timetable, and you still submit a Self Assessment tax return using compatible software for the year.

That matters because session income and product sales can mix, while consumable costs are frequent. Those timings can make the records look uneven if they are only rebuilt months later. Current records make the pattern easier to explain.

What makes aromatherapists different

Every business has its own record-keeping wrinkles. For aromatherapists, the common ones are:

  • Session income and product sales can mix. A client may pay for treatment and products together. Keep the split visible.
  • Consumable costs are frequent. Oils, carrier products, towels and hygiene supplies can be small but regular costs.
  • Room hire can change the margin. Clinic room costs, mobile travel and home-studio expenses need stable categories.
  • Advance bookings affect timing. Deposits, blocks and gift vouchers may not match the treatment date.

For an aromatherapist, those are normal commercial patterns rather than problems by themselves. The risk is letting them sit in memory until a quarterly update or year-end review forces you to rebuild the story from fragments.

Income categories to keep clear

For an Aromatherapist, income may come from one-off jobs, repeat customers, deposits, add-ons and retained arrangements. Record each payment when it arrives and connect it back to the job, customer, booking, route or invoice that produced it.

Use the client intake form, invoice or customer reference as the anchor for deposits, balances and late-settling income. Save receipts for essential oils and carrier oils as soon as they arrive, so the cost side is not waiting on customer settlement before it is recorded. If cash is still part of your business, record it in the same week. Cash is not the issue; missing records are.

Expense categories worth setting up early

Most aromatherapists will need clear categories for:

  • essential oils
  • carrier oils
  • towels and laundry
  • room hire
  • travel costs
  • booking software

Keep those categories stable enough that essential oils, carrier oils and towels and laundry land in the same place each month. A short, consistent list is more useful than a complicated one that changes whenever the paperwork gets busy.

A simple weekly routine

The least painful MTD preparation is weekly, not annual. For aromatherapists, that means adapting the same admin habit you already need for the business:

  • record each payment against the client intake form or invoice it belongs to
  • save receipts for essential oils and carrier oils
  • mark deposits, balances or delayed payments while the detail is current
  • note any unusual week or quarter while the detail is still fresh
  • move the week's income and expenses into the digital finance record

That weekly habit is not about doing a tax return every Friday. It is about making the quarterly update a summary of records you already hold from the way the aromatherapist business actually runs.

Spreadsheet, software or accountant-led

For aromatherapists, cloud bookkeeping software can be easier if you want bank feeds and direct submission. A spreadsheet plus bridging software can work for simpler aromatherapist businesses if it is maintained properly. An accountant-led route can also work, but your accountant still needs timely digital records from you.

For many aromatherapists, a spreadsheet is the bridge between informal records and full software. It works only if it is updated consistently. A spreadsheet abandoned until year-end is not a practical MTD plan.
