Wedding planner insurance UK: what cover you need, and why quotes vary
Templates and forms for UK wedding planners: Wedding planner business templates →
TL;DR: A wedding planner usually looks at professional indemnity (a couple says a planning mistake cost them money) and public liability (someone is hurt or property damaged at the venue while you're working). If you take anyone on, read GOV.UK's employers' liability page first. We don't quote prices here because we couldn't find a dated, citable UK figure for this trade.
The covers that matter most
1. Professional indemnity. Covers claims that your advice or planning caused a client loss, such as a booking error or a missed deadline that costs the couple a supplier deposit.
2. Public liability. Covers injury or damage at the venue: a guest trips over a cable from your styling, or décor marks a venue wall. Venues often ask to see it.
Employers' liability. Covers staff if they're hurt or made ill by their work. Before an assistant works a wedding with you, read GOV.UK's employers' liability insurance page and ask your broker what you need.
Other covers to ask about:
- Equipment and props: décor, signage, stationery stock in transit and in storage.
- Event cancellation: usually bought by the couple, not the planner; know the difference so you can explain it.
- Legal expenses: disputes over fees or supplier failures.
- Freelancers you bring in: ask your broker how they'd treat a freelancer you pay, and ask to see the freelancer's own cover. GOV.UK's employment status pages explain how to check someone's status.
Why quotes vary
Insurers price a wedding planner on:
- full planning, partial planning or on-the-day coordination
- the number of weddings a year and their size
- whether you supply and set up décor
- staff or freelancers on the day
- limits, excess and claims history
Compare quotes on the same limits and services, and read the exclusions as well as the price.
Step by step: get the right policy
- List your services. Full planning, partial planning, coordination, styling and décor hire.
- Say where you work. The venues you use, UK only or abroad, and whether you store or transport props.
- Check what others will ask for. Venues commonly ask for a public liability certificate before setup.
- Compare like with like. Same limits, same services, same excess.
- Keep the records a claim relies on. A signed client agreement, a supplier and booking log, and written approvals of key choices.
Real situations, and which cover answers them
- A booking error means a couple loses a deposit. That's professional indemnity.
- A guest trips over your sign stand. That's public liability.
- Your hired assistant hurts their back carrying props. Ask your broker whether that's employers' liability on your policy.

How much does wedding planner insurance cost?
