How to price your wedding planning work: packages, add-ons and deposits
Templates and forms for UK wedding planners: Wedding planner business templates →
TL;DR: Count your real hours per package (meetings, supplier admin, the day itself), set an hourly target, add costs and margin, then publish packages. We haven't found a dated, citable UK price survey for wedding planners, so instead of an "average" this guide shows you how to build your own fees, and suggests checking three or four local planners' published prices and noting the date.
What goes into your price
- Hours across the whole booking: meetings, supplier calls, site visits, timeline, rehearsal and the day itself.
- Day-of staff: assistants or freelancers.
- Travel: site visits and the wedding day.
- Overheads: insurance, software, website, accounting.
- Deposit and cancellation risk: the cost of a cancelled date you could have sold.
Step by step: work out your price
- Log hours on your last two or three weddings by stage.
- Set your target hourly rate and add overheads.
- Build three packages: full, partial, on-the-day.
- Set a booking fee and payment schedule in your terms, and say what is refundable.
- Price add-ons separately: extra site visits, styling, extra staff.
- Check the result: a package fee minus day-of staff and travel, ÷ every hour you logged across the booking, shows what you really earn per hour.
Pricing structures wedding planners use
- Flat package fee: clearest for couples; build it from hours.
- Percentage of wedding budget: grows with bigger weddings but can be hard to explain.
- Hourly or day rate: good for coordination-only work.
- Hybrid: a base fee plus add-ons.
Keep an eye on turnover
As bookings grow, check GOV.UK's Register for VAT guidance to see when it applies to you, and talk to an accountant before it does.
Putting your fees up
Set new fees for the next booking season, publish them before you take enquiries for it, and honour the fee in each signed agreement.

FAQ
Should I charge a flat fee or a percentage?
A flat fee built from your hours is easiest to defend. A percentage can underpay you on small, complex weddings.
How much deposit should I take?
Set it in your terms so it covers the work you do early and the date you hold, and say clearly what is and isn't refundable.
Should I publish my prices?
A 'from' price for each package helps couples self-qualify before the first call.
